Steda Receivables compared with QuickBooks' own invoice reminders

QuickBooks sends reminders already, and for a small ledger that is enough. The question is what happens when the list is long enough that the same three emails go to the customer who always pays and the customer who never does.

What QuickBooks reminders does today

In QuickBooks Online you can turn on up to three automatic reminders, each set a number of days before or after the due date, up to ninety days either way. Intuit checks due dates a few times a day and sends them. In QuickBooks Desktop, payment reminders work the other way round: QuickBooks tells you which statements and invoices are ready, you review and approve them, and a reminder is limited to five schedules.

Both are a schedule. Neither ranks the list, neither knows which customer promised to pay on Friday, and in QuickBooks Online the same schedule applies to everybody: Intuit documents no way to send an automatic reminder to specific customers. That is the difference this page is about.

The other side of it

Where QuickBooks' own reminders are the better answer

  • They cost nothing. They are in the subscription you already pay for.
  • Setup is a settings page and a toggle, not an onboarding.
  • For a ledger of twenty open invoices with two slow payers, three scheduled emails do the job, and a worklist would be ceremony.
  • Nothing to connect, nothing to keep alive, and no second system holding a copy of your aging.

Do not buy this if

When Steda Receivables is the wrong purchase

  • Nobody spends real time chasing. If the follow-up list is a five-minute job on a Friday, keep the toggle.
  • You do not want customers paying online at all.
  • Your aging is short and your customers pay on terms. Steda earns its price on the awkward half of a long ledger.

If one of those is you, say so on the call and we will tell you so. A customer who did not need this is worse for us than a customer we never had.

Questions

Does Steda send reminders without us seeing them first?

Not unless you turn that on. Every reminder run previews the exact messages and the exact recipients, and nothing leaves until somebody approves it. New tenants start in safe mode, where nothing can send at all, and turning safe mode off is a deliberate action with a record of who did it.

Do we have to turn off the QuickBooks reminders?

Yes, or your customers get two sets of chasing from one company. Switch the automatic reminders off in QuickBooks Online settings, or clear the reminder schedules in Desktop, before the first Steda run goes out.

Does it work if we are on QuickBooks Desktop?

Yes. The aging comes across through the Web Connector, including from Enterprise, and payments and credits are written back the same way. It also works with no connector at all: upload the aging as a file and export what you need.

What does the customer see?

A reminder from your own sending address, with your own wording, and a link to a portal on your own subdomain carrying your logo. They can see the statement, open an invoice, raise a dispute, or pay. The payment goes to your own Stripe account, not to Steda.
